Officer Duties and Responsibilities

Executive Chapter

Coordinate and host the next Florida Regional Convention. The Executive Chapter is expected to finalize the convention agenda with the Regional Coordinator, assist in making meal and meeting space arrangements, organize the marketplace and art display areas, find guest speakers for the convention, recruit presenters for non-hallmark workshops, and arrange the dance(s).

The Chapter members: (For quick reference)

  • design, organize, and implement convention program including finding the speakers and workshop facilitators in conjunction with the Regional Coordinator.
  • do a site visit with the Regional Coordinator
  • host all sessions.
  • organize and implement the marketplace.
  • find judges for the speech and art competitions.
  • keep records and receipts of all funds given to chapter by Region or to be reimbursed by the Region.
  • coordinate the dissemination of information from International Headquarters and International Officers.

Awards Chapter

Oversee the Florida Region Awards Program. The Awards Chapter is expected to assist the host chapter with finding on-site judges as needed, purchase plaques and certificates for the winners and participants, and assist the Regional Coordinator during the presentation of awards at the Regional Convention.

  • receive all Region-specific award entries.
  • record all entries by chapter and category for Regional Records.
  • Maintain the Google Drive for Award uploads
  • maintain all financial records.
  • produce certificates.
  • assist awards presentation at Regional Convention Awards Banquet.
  • prepare Regional Awards Template for International HQ.

Communications Chapter

Publish the Florida Region’s newsletter The Athenian at least four times per year between February and January. The Communications chapter is also expected to send an electronic copy of the newsletter to the Regional Webmaster for electronic distribution.

The Chapter Members: (For quick reference)

  • solicit articles from the chapters in the Region.
  • send receipt for articles to the chapters who have submitted to the newsletter.
  • edit and produce the Regional newsletter.
  • send newsletter to Regional Webmaster for posting to the Regional Website.
  • maintain records of submissions for the Regional Awards Program.
  • Maintain and oversee Twitter and Instagram Regional accounts

Scholarship Hallmark Chapter

Present a workshop on the Scholarship Hallmark at the next convention. The Scholarship Hallmark Chapter is expected to present a one-hour workshop that emphasizes the International Honors Study Topic. Ideas for implementation of the hallmark should be addressed. A preliminary outline must be submitted to the Regional Coordinator by January 30th before the Regional Convention. The Scholarship Hallmark Chapter shall assist the Regional Honors Chapter as needed and assist the Regional Coordinator in coordinating information on the Honors Study Topic for the Regional website or may organize a regional Scholarship activity.

  • assist the Honors Institute Chapter hosting the next Regional Honors Institute in areas assigned.

Leadership Hallmark Chapter

Present a workshop on the Leadership Hallmark at the next convention. The Leadership Hallmark Chapter is expected to present a one-hour workshop that emphasizes the aspects of Leadership that would be relevant to Phi Theta Kappa members and officers. Ideas for implementation of the hallmark should be addressed. A preliminary outline must be submitted to the Regional Coordinator by January 30th before the Regional Convention. Additionally, the Leadership Hallmark Chapter is expected to assist the Alumni Chapter hosting the next Leadership Conference in areas assigned. The Leadership Hallmark Chapter may organize a Regional leadership project.

  • develop, organize, and implement a workshop on the Leadership Hallmark at Regional Convention.
  • assist the Alumni Chapter hosting the next Leadership Conference in areas assigned.
  • communicate with the chapters and members in the Region to develop, organize, and implement the student-run workshops at the Leadership Conference.
  • are responsible for contacting all chapters in the Region informing them, encouraging them and supporting them in participation in the Five Star Program

Service Hallmark Chapter

Present a workshop on the Service Hallmark at the next convention. The Service Hallmark Chapter is expected to present a one-hour workshop that emphasizes the International Service Project. Ideas for implementation of the hallmark should be addressed. A preliminary outline must be submitted to the Regional Coordinator by January 30th before the Regional Convention. The Service Hallmark Chapter may organize a Regional Service Project or activity.

Fellowship Hallmark Chapter

Present a workshop on the Fellowship Hallmark at the next convention. The Fellowship Hallmark Chapter is expected to present a one-hour workshop that emphasizes aspects of Fellowship that would be relevant to Phi Theta Kappa members and officers. Ideas for implementation of the hallmark should be addressed. A preliminary outline must be submitted to the Regional Coordinator by January 30th before the Regional Convention. The Fellowship Hallmark Chapter may organize a Regional Fellowship activity.

Honors Institute Chapter

Coordinate and host the next Florida Regional Honors Institute. The Honors Institute Chapter is expected to finalize the institute agenda with the Regional Coordinator, make meal and meeting space arrangements, organize the marketplace area (if there is to be one), find guest speakers who are knowledgeable on the Honors Study Topic to speak at the institute.

  • organize general sessions and workshop rooms as well as the meals.
  • design, organize, and implements institute agenda including finding the speakers and workshop facilitators.
  • host all sessions.
  • organize and implement the marketplace.
  • keep records and receipts of all funds given to chapter by Region or to be reimbursed by the Region.

Other Duties

  • All Regional Office holders participate in the Regional meeting at International Convention.
  • All Regional Office holders send a representative to dinner with International Officer at Leadership Conference.
  • All chapters are responsible for sending one representative to the Regional Planning Meeting. One advisor from the chapter is expected to attend, if possible.

*All Regional Office Chapters are Required to participate in the writing of the Regional Awards essays for HQ.
